Service Writer (Nappanee)

We’re Hiring:

A Service Writer for our Service Department in Nappanee, IN. As a Service Writer, you will be a key connection point between our customers, service technicians, warranty support, parts department, and service management. You will help keep service work moving by opening and managing repair work orders, helping finalize billing, supporting warranty claim closure, coordinating customer communication, and assisting with job scheduling and repair authorization. This role is ideal for someone who is organized, detail-oriented, customer-focused, and comfortable communicating clearly with multiple stakeholders throughout the repair process.

What you will be doing:

  • Open new service repair work orders for technicians and capture the details needed to complete the requested work.
  • Help finalize and close service repair work orders by coordinating billing details with service personnel, management, and customers.
  • Communicate invoice details and help ensure payment is collected before customer machinery is returned.
  • Work with warranty staff to help facilitate the closing of customer warranty claims for the brands supported by the company, following applicable warranty policies and procedures.
  • Assist service management in monitoring older or inactive work orders and helping push them toward completion and closure.
  • Support the service team’s workflow through customer communication, repair authorization, job scheduling, and pickup/delivery coordination as needed.
  • Coordinate with the parts department and service personnel on critical parts needed to complete service repairs in a timely way.
  • Answer and facilitate dealership phone communication professionally, helping callers get the answers or assistance they need.
  • Help resolve customer questions, concerns, and issues in a timely and effective manner.
